Financial and accounting management


  • Maintain the condominium's general accounting; an external auditor at year-end may audit the financial statements;
  • Prepare monthly bank reconciliations and send notices of assessment to all co-owners;
  • Prepare annual financial statements and complete tax returns for the syndicate;
  • Prepare the syndicate's annual budget in coordination with the Board of Directors and connection with various reports such as the contingency fund study;
  • Prepare supplier payments and send them to the Board of Directors for signature;
  • Deposit funds in the condominium bank account and prepare condominium statements;
  • Coordinate with the Board of Directors the opening and follow-up of bank accounts (Operations, self-insurance, and contingency fund) and, if required, other accounts for special projects;
  • Collect arrears of common charges.

Administrative management


  • Prepare and lead syndicate general meetings;
  • Prepare resolutions and votes for consultation and adoption of amendments at the meeting;
  • Send meeting notices and documents (Art. 1087 CCQ) within the required deadlines (Notice of meeting, agenda, attendance list);
  • Present financial statements for the year (balance sheet and income statement)
  •  Prepare 3-year budget forecast;
  • Draft the minutes of the meeting;
  • Prepare Board meetings;
  • Periodic meetings to analyze budget variances and monitor finances;
  • PRE-AGM meeting to prepare the annual budget, present financial statements, and set agenda items for the Annual General Meeting.
  • Draft and send information memos to directors and co-owners;
  • Ensure the comfort of co-owners by enforcing building regulations;
  • Update information in the annual declaration identifying directors with the REQ;
  • Negotiate and renew the building's insurance contract;
  • Call and participate in all extraordinary general meetings of the syndicate;
  • Manage conflicts and complaints, as well as requests from the syndicate's legal representatives.

Services

Technical management

  • Thanks to our partnerships and extensive supplier base, we negotiate annual maintenance contracts for the condominium, bringing savings back to the syndicate from certified suppliers;
  • Maintain a 24/7 emergency telephone service to coordinate claims management;
  • Periodically inspect and visit the condominium if required for urgent or non-urgent needs as part of the management of annual maintenance contracts, to ensure the cleanliness of the premises and identify work to be done;
  • Coordinate the work of professionals needed to maintain the building (e.g., contingency fund study, insurance appraisal, periodic inspections, etc.).
